Open In-Gate Form |
- Ensure you are logged into the correct mission and have selected the correct facility that you are currently located at. You can see this in the top right-hand corner of the Arrive screen.

- From the Arrive Page, click on the “+ In-Gate” button

- This will open a blank In-Gate Form to record the new resource into the mission into the facility you are logged into.

Note: Any mandatory fields not filled in will be highlighted to you. You will not be allowed to save the In-Gate record unless the mandatory fields are populated

Enter Primary Driver Details |
- A drivers’ key identifier is his/her mobile numbers.
SCENARIO 1 – DRIVER IS ALREADY REGISTERED ON CLOCKWORK
- If the driver is already registered on Clockwork and part of the mission, entering the phone number will auto populate the driver’s information as recorded on the driver’s profile.
- At the very least, the driver’s Full Name will auto populate. If the Power Unit ID is entered during user registration, this will also auto populate. Any values for the mandatory fields (Power Unit Type, Power Unit ID, and Carrier) will need to be entered to in-gate the resource.
- Facility name will default to the facility you are currently located in and disabled for editing.
- General Comments is an optional field.

SCENARIO 2 – DRIVER IS NOT REGISTERED ON CLOCKWORK BUT IS WORKING FOR A CARRIER THAT IS APPROVED TO BE ON MISSION
- If the mobile phone number is not found for the driver attempting to in-gate into the mission for the first time, but the carrier that he/she is working for is, you will still need to make sure your site manager approves this driver to in-gate.
- If you receive approval to in-gate the driver and his/her new asset, simply add the driver details (Mobile Number, Full Name, Power Unit Type and Power Unit ID.
- Select the carrier he/she is associated with. Once the remainder of the form is completed and saved, the user will be automatically registered on to the specific mission.

SCENARIO 3- DRIVER IS NOT REGISTERED ON CLOCKWORK AND HIS/HER CARRIER IS NOT LISTED TO BE ON THE MISSION
- If the driver’s mobile phone number is not found nor is his/her associated carrier listed, then you will need to reach out to your site manager for approval to in-gate the driver (and his/her trailer). Your site manager/administrator will need to add the carrier to the mission and/or register the driver for the mission.
SCENARIO 4 – DRIVER IS A COWBOY/NON-EVENT DRIVER
- The administrator will add a company name for this scenario so it is on the approved carrier list for each mission. Please contact your administrator if this is not known.
- If a driver and trailer are entering the facility are non-event, tick the “Is the Driver Non-Event,” enter his/her Mobile Number, Full Name, Power Unit Type and Power Unit ID.
- Select the company name that serves as the entity for the cowboy/non-event driver as this driver’s carrier (please reach out to your administrator if the company name is not known). The In Gate record will be saved once form is saved, but the driver will be not saved as a registered driver on mission

Enter Secondary Driver Details (if applicable) |
- If Team Drivers are entering the facility, tick on “Team Driver” to expand this accordion.
- You will notice that the Power Unit Type, Power Unit ID, and Carrier fields already populate with the values entered for the primary driver.
- Refer to all the scenarios listed in step 2 to record the secondary driver’s details. Below is a screenshot of a team driver entered under SCENARIO 1 (driver is already registered with Clockwork).

Note: When in gating single drivers or team drivers for the first time, the record tags the driver(s) as being a single driver or a team. If the situation comes up where you need to partner up 2 single drivers to make a team to dispatch a long-haul load, then you will need to in gate the 2 drivers as a team once more. If the situation comes up where you need to split 2 drivers that in gated to the site as a team, then you will need to in gate the 2 drivers separately. Be sure to in gate the drivers as bobtails (refer to step 4 below) only if the trailer has already been recorded as in gated / delivered at your facility.

Log a Bobtail (if applicable) |
- If a driver is simply entering the mission for the first time with just his tractor, tick “Is Bobtail.” The two accordions below in the In-Gate form, Trailer Information and Load Information, will automatically disappear.
- Click on the “Save” blue button on the bottom right-hand corner of form to save the In Gate record.

Enter Trailer Information |
- Key in the mandatory fields for Trailer Nose and Transponder #
- Select the Trailer Type and the Carrier that owns the trailer from the dropdowns – these are also mandatory fields.
- Key in the License Plate Number and Seal Number (If trailer arrives with an unbroken seal)
- Enter any General comments, if required.

- If the trailer is empty, tick the “Is Empty” box. This will hide the Load Information accordion below in the In-Gate fomr. Once saved, the record will be saved as an empty trailer resource at your current facility.
- If the trailer is a trailer from a cowboy/non-event carrier, then tick the “Is Non-Event” box and select the carrier name to be used for cowboy/non-event carriers. The trailer’s status will be sent to “Inactive – Non-mission” status and will not be made available to dispatch during the mission.

Enter Load Information |
- For each cargo line item:
- Select the commodity. There will be an available drop down of commodities as set up by your administrator. The Weight, Outer Qty, and Outer UOM (i.e. 24 pallets) may also be set up by your administrator and will automatically populate when the commodity is selected.
- If Weight, Outer Qty, and Outer UOM are not automatically populated or not accurate for the load that is being in gated, key these values in.
- Enter Inner and Inner UOM if required.
- Enter the Expiration Date of the commodity through the date picker, if required.
- Enter the Load Sequence number if this is a Federal load
- Enter the Lot Number of the Commodity, if required.
- Enter any General Comments, if required.
- Click on the “Save Load” blue button to save the cargo line item.

- Repeat if there are multiple cargo line items received in the load by clicking on the “+Add Load Item” blue button.
- A summary of each cargo line item will save in a grid format that you can review

- If the cargo line item is to be crossdocked at your facility, then tick the “To be crossdocked” box. Once the in-gate record is saved, there will be a visible flag on the trailer record in the Asset screen that the trailer is to be crossdocked (refer to Using the Asset Screen instructions).

- If you need to edit a cargo line item of the trailer load, click on the pencil icon (in red circle above). Make the necessary changes and the click on “Edit Load”

- If you need to remove a cargo line item, click on the trash can icon (in red circle above).

Save In Gate Record |
- Click on the blue “Save” button on the bottom of the In Gate Form to save the record.

- Your record will be saved to the Asset screen.

Note: If a trailer is recorded with cargo (or multiple cargo line items), an automatic PRO# will be assigned to the load as shown above
